Job duties:Process Lease signing as per organizational objectivesMonitor and track the status of lease signing forecasted signing monthly.Manage and monitor day-to-day activities within your geographical area that supports the operations of the Portfolio Lease Administration Service LineOversee company portfolio of retail store leases and supervise individuals in the Lease Administration Department in your market (where applicable_.Support and assist with Americana’s Restaurant Division initiatives & change managementRecommend new approaches, policies, and procedures to effect continual improvements in efficiency of services performedEnsure Americana standards are implemented, met and maintainedProvide timely and accurate documentation and reportingExecute special projects as assigned by Senior Real Estate Portfolio ManagerCollaborate on high profile projects that will require special attention and reportingManage, train, and develop team members in your market.Demonstrate initiative and reflect a sense of urgency in daily duties by meeting or improving upon deadlinesClosely track and provide updates to the plan for securing NSOs.Track critical dates (renewal options, kickouts, rights to terminate and expirations) for existing stores and generate and maintain several reports and weekly updates with respect to same.Ensure that all stores with upcoming critical dates are addressed with management in a timely manner and follow through with decisions while meeting critical deadlines.Draft and/or review lease amendments and termination agreements with respect to existing stores.Assist in the development and implementation of procedures to ensure the integrity of the lease database system.Write reports as requested in the lease database system for the Real Estate Department.Assist in lease preparation and review against Americana policy & top lease conditionsOther duties or projects as assigned.Maintain an accurate, detailed audit trail for each deal, and track and document decisions related to the sameReview Lease Agreements and ensure to provide legal & commercial comments to Real Estate to negotiate with the LandlordAbstract the finalized deals in Tango for Management Approval and ensure all relevant approvals and correspondences are attached as per process to maintain an accurate & detailed audit requirement.Facilitate Signing of the Lease documents and coordinating with Finance for issuance of paymentsCoordinate with Landlord and arrange for delivery of Leases and Payments with internal team members by preparing Payment and Lease Acknowledgments)Liaise with Finance team to provide Payment acknowledgments along with the draft cheques to facilitate Finance archiving.Reporting Leases Signed by Americana and Leases Executed on a weekly basisUpon receipt of executed lease & required legal documents for new sites from the Landlord, liaise with the Projects team for alignment to proceed with pre-requisite documents required to obtain work permits.Coordinate with Licensing team, projects team and Landlord to ensure all relevant documents are available for shop opening (Legal/Municipality related documents, Landlord documents, Gas Certificates etc)Assist the Licensing team by coordinating with Landlord for Ejari, Municipalities Contract, Tawtheeq to enable trade license renewal, in the applicable marketsFollowing up with Landlord for executed documents on regular basis.internal reports/trackers of all Lease documents signed and executed and cheques issued.Share the updated renewals tracker with the Real Estate team every month, highlighting upcoming critical dates 6 months in advance as well as stores close to expiry or holdover.

RequirementsEducation:University Degree is desirable.Knowledge of Word, Excel, Access, and Power Point is essential.Experience:2-3 years’ experience in Real Estate.Knowledge:Excellent quality checking & compliance skillsAbility to plan, organize and adapt in various situations to meet business objectivesExperience of business process re-engineeringExperience of extensive Real Estate System Implementation projectsStrong analytical abilitiesSkills:Ability to interpret complex retail lease language.Exceptional communication and negotiating skills.Ability to meet deadlines.Strong attention to detail and organizational skills.Ability to prioritize and manage multiple projectsStrong organizational skillsHigh-quality work ethics without supervisionExcellent verbal and written communication skillsExcellent time management skillsAbility to solve problems by drawing upon the collective thinking of the broader team through influence and negotiation.Strong leadership skillsClient relationship management skills.
