Primary Duties and Responsibilities:
Position summary
The Project Management Officer is a key part of Palladium s project management team. The post-holder will work with the project manager to ensure quality and efficiency in delivery of all project aspects including procurement, contracting, travel and workshop logistics and financial management. The Project Management Officer reports to the project manager and helps to ensure Palladium s project portfolio is delivered on time, according to scope and within allocated budget. It is expected that a portion of time will also be dedicated to supporting Palladium s business development activities in agriculture and other sectors.
Responsibilities
Project Coordination & Management Activities (70%)
- Preparing and managing project budgets vs forecast;
- Processing payments and following up with clients, suppliers and staff regarding and advances and invoicing;
- Assist with immigration and other government-related applications and processes for project staff;
- Coordinate and assist with project-related international and/or local travel and accommodation bookings;
- Ensure that all project documents are saved and filed according to corporate policy;
- Organise workshops and trainings including but not limited to invitations, accommodation and conference room booking, related procurements, and logistics;
- Serve as security focal point for projects, and ensure all team members are inducted regarding Palladium security policies and procedures;
- Support in the development and maintenance of projects asset registers and overall management of project assets;
- Support with project procurements, ensuring procurement guidelines are adhered to and meet the Palladium and client value for money (VfM) requirements;
- Coordinate the drafting and approval of project-related contracts and agreements;
- Work with Human Resources to support recruitment and onboarding process for new project staff;
- Manage leave plan for all staff ensuring that leave schedules are coordinated to avoid disruption to the operations of the projects.
Business Development Activities
- Coordinate the timely and accurate submission of high-quality technical and financial submissions in liaison with local and international project teams.
- Support in development and design of new projects and programs, including researching and preparing new proposals in the field of agriculture, strategy and related sectors
- Manage research efforts during bid preparation
- Ensure compliance with bid requirements, deadlines and related business development processes
Required Qualifications:
- Bachelors degree in business administration, project management or similar
- A good experience in project coordination or administration
- Excellent Arabic and English skills both written and verbal
- Successful experience with proposal development and writing funding proposals and reports.
- Experience assisting in budget development, management and oversight.
- Excellent organizational skills with an ability to prioritize, work under pressure and manage multiple time-sensitive priorities.
- Demonstrable ability to analyze challenges and propose workable solutions.
- Computer proficiency including strong Excel skills.
