Summary
Classifies, stores, retrieves, and updates Personnel records and employees files.
Essential Responsibilities and Duties
1. Reads incoming material, verifies accuracy, and sorts and codes according to file systems.
2. Stores material in paper form, enters information into computerized storage system.
3. Maintains computer database.
4. Opens new files for new hires and closes files upon termination.
5. Retrieves materials for authorized personnel upon request.
6. Searches for and investigates information contained in files, inserts additional data on file records, completes reports, and keeps current files.
7. Keeps track of borrowed materials and ensures they are returned.
8. Dispose of obsolete files in accordance with established retirement schedule or legal requirements.
9. Scans material or copies records, and examines materials for legibility.
10. Types labels or reports.
11. Implements changes to the filing system when directed.
12. Maintains suitable level of stock to ensure adequacy of daily processes.
13. Prepares quarterly activity reports.
14. Preserves confidentiality of employee records at all times.
15. Follows all Hospital related policies and procedures.
16. Participate in self and other’s education, training and development as applicable.
17. Performs other duties as assigned.
Education
Bachelor s or Associate Degree/ Diploma in Hospital Administration or other related discipline is required.
Experience Required
One (1) year of related experience with Bachelor s Degree or three (3) years with Associate Degree/ Diploma is required.
