Role Description:
The Document Controller works as part of the Information Management team, reporting to the Knowledge and Information Manager. The role involves the allocation of document numbers, types and metadata to various documents originated in the project. There is also a need to store correctly documents and data received from third parties. The Document Controller will also assist with the searching and retrieval of documents from the project systems as required.
Responsibilities Include:
Control of documentation within the project including management of document templates, allocation of document numbering and document metadata.
Conducting quality assurance and control on the document coversheet data to ensure documents are correctly categorised before despatch.
Filing and storage of documents in the correct locations within the systems.
Assisting users with searching and retrieving documents from our systems.
Ensuring the proper and secure storage of information from third parties such as Client and suppliers.
Undertake ad hoc Information Management and project work as directed by Line Management.
Ensures full audit trail in place to satisfy internal, and external auditors (KBR or Client).
Experience and Skills:
Essential:
A minimum of 3 years’ experience in Document Control, preferably in a telecommunications or engineering company environment.
Strong SharePoint environment skills.
Strong IT Skills in general – Good working knowledge of databases and reporting.
Organised – ability to plan and prioritise work.
Good communication skills, enabling the escalation of issues to management in an informed way, suggesting solutions and making recommendations where possible.
A team player, able to operate in a multi-national and multi-disciplinary environment.
Desirable:
Experience of working in Gulf Co-operation Council (GCC) countries.
Knowledge of the telecommunications industry, Facilities Management, IT or Delivery Partner industries.
Demonstrates an aptitude for analytical thinking.
Qualifications:
A formal qualification or training and experience in document management systems.
Strong general IT skills, awareness and aptitude (including data manipulation in spreadsheets etc.).
Strong working knowledge of SharePoint and associated tools.
Have, or be able to obtain, necessary security clearance.
