Position Summary
Provides executive administrative support to the Director of Finance & Business Services Division. Responsible for managing the Director’s calendar, conducting research to prepare briefing materials and reports, coordinating with stakeholders and providing support/coordination for projects.
Job Responsibilities
Supports the daily administrative operations of the Director, Finance & Business Services Division (FABS). Functions as a gatekeeper to assure prioritization of the FABS Director’s time.
Uses multiple computer applications to support key administrative functions. Manages Director’s calendar. Collects and prepares information for use in discussions, meetings of executive leadership, and individuals. Records minutes/notes as required.
Administers and organizes centralized projects for the FABS Division and the institution.
Assists in monitoring of FABS yearly budget through collation and tabulation of information.
Liaises with FABS team to prepare projects’ charter and with the coordination of project management activities, schedules, resources, meetings, and information to get the projects completed on time and within budget.
Maintains project documentation such as plans and reports, project schedules, budgets, and expenditures. Acts as the point of contact and communicate project status to all participants.
Checks and updates on project milestones to track if agreed targets are met. Monitors project progress and directs the attention of the stakeholders towards any issues that arise.
Organizes, attends, and participates in stakeholder projects meetings and prepares necessary presentation materials for meetings to update team members and stakeholders. Records minutes, documenting and following up on important actions and decisions.
Provides administrative support in internal controls, risk management, and insurance tasks.
Performs other duties as assigned.

Education
Bachelor’s Degree
Experience
Minimum Bachelor’s Degree in any discipline (preferably administrative sciences) with 2-3 years of relevant experience.
Proven experience in an senior administration support role.
Prior working experience in a research, medical or educational environment desired.
PM certificate is a plus.
Bi-lingual English - Arabic communication skills preferred.

Excellent communication and interpersonal skills to communicate effectively with all levels of staff; both verbally and in writing.
Previously demonstrated strong attention to detail, and ability to multi-task with demanding timeframes.
Previously demonstrated ability to work proactively and independently under self-direction, as well as a team member.
Previously demonstrated ability to use high-level discretion and maintain a high level of confidentiality.
Diplomacy, professional appearance and demeanor, and excellent attendance.
Advanced technical and computer skills to support administrative functions including MS Office Suite with an emphasis on PowerPoint, Excel, electronic calendar management, email applications, and video and telephone conferencing applications.
