JOB PURPOSE:
Help the Administration Head in his task(s) by running the admin activity, pursue Company documentation, assist in
budgeting, manage the Companies’ assets, responsible for workers with their camp & transportation, provide stationary to the stuff in all departments, clear the mobile bills & be sure that the task given by the manger is
executed on timely manner.
SCOPE:
The contribution & impact is to keep the companies documents up to date & keep the record in the files about all
department’s activities.
ROLE RESPONSIBILITIES:
Use the experience/ knowledge in a technical manner with contracts, quoting, and to seamlessly implement &
execute plans
Preparing admin budget annually.
Keep a close track on company’s & showrooms licenses (expiry date for commercial, fire, municipality, advertising, central tenders, chamber of commerce, imports, etc.)
Supervise and maintain filing system for the daily database.
Supervise and responisible of asset custody of the company and intertransfer (telephone, cars, Office Furniture,,etc.).
Monitor and process all types of vehicle insurance documents for renewal.
Provide refreshment items for Management Services.
Organize party events, for the guest and Management.
Supervise a team of Officers and be the right balance to them in liaison with the Head of Admin.
Supervise staff accommodation and solely responsible for transportation arrangement.
Maintain proper stock of stationary and make analysis on monthly basis.
Clear Electricity & Ministry of Telecommunications bills in a timely manner by getting a clearance.
Monitor visitor’s access and issue gate passes for the outgoing as when required.
Responsible of all Securities and the gate pass for all companies.
Follow up and highlights the throughout tasks to carry out within expected time frame.
Arrange regular petty cash and reimbursement with authentic documents for management services.
Manage the repair with the minimum cost and maintenance of the office equipment and assets.
Responsible for petty cash arrangement and daily purchases.
Assist in budgeting system of the assets annually.
Apply all administration policies and procedures.
Suggesting new innovative ideas to enhance the work flow.
المهارات
At least 5 years of experience working in an Admin team
Must be Bilingual (Arabic & English)
Must have a valid Kuwait driving license
