Administration:
• Resolves administrative problems by coordinating preparation of reports, analyzing data, and identifying solutions.
• Ensures operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques.
• Planning and coordinating administrative procedures and systems and devising ways to streamline processes
• Manage schedules and deadlines (for driver & maintenance work)
• Checking company cars (maintenance & other)
• Checking staff accommodation
• Monitor inventory of office supplies and the purchasing of new material with attention to budgetary constraints
• Monitor costs and expenses to assist in budget preparation
• Ensure operations adhere to policies and regulations
• Type correspondence, reports and other documents
• Prepares all outgoing company letters to external parties
• In charge of all company internal & external documents
• Building relationship with EIA Administration & EIA security
• Supervise & Maintain office files
• Open and distribute the mail
• Maintain confidential records and files
• Research and assist with the preparation of policies and procedures
• Direct calls and respond to inquiries (Tanseeq phone)
• Provide general administrative support including mailing, scanning, faxing and copying to management
• Supervise & maintain electronic and hard copy filing system
• Assist in resolving any administrative problems
• Maintain office supplies for department
• Scheduling & planning lawyer daily tasks
• Updating/supervising companies expiry sheets
• Submit weekly report (or daily report if required)
• Perform other duties as assigned by line manager
Tendering:
• Provide daily tracking sheet on daily basis
• Monitor websites for RFP, ITB, RFQ opportunities of potential interest to BITCO, and distribute opportunities to appropriate staff.
• Gathers proposal information by identifying sources of information; coordinating submissions and collections; identifying and communicating risks associated with proposals.
• Checking prices based on the requirements and direction from the line manager
• Meets proposal deadline by establishing priorities and target dates for information gathering, writing and review, ; entering and monitoring tracking data; coordinating requirements with contributors; contributing proposal status information to review meetings; transmitting proposals.
• Develops proposal by assembling information including project nature, objectives/outcomes/deliverables, implementation, methods, timetable, staffing, budget, standards of performance, and evaluation; writing, revising, and editing drafts including executive summaries, conclusions, and organization credentials.
• Prepares presentation by evaluating text, graphics, and binding; coordinating printing.
• Accomplishes organization goals by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments.
• Coordinate proposal activity and proposal task sequencing with consulting and contracts staff.
• Coordinate proposal content acquisition from internal resources.
• Ability to search for suitable suppliers, approach them, follow up with them, cross check (compare) the commercial and technical requirements between the offered items with the client requirements
