• Operate client CAFM system (sales force) and coordinate with site FM team to close the entire client call request with in specified SLA period.
• Prepare daily CAFM reports and attend daily meetings with client/ client representatives.
• Coordinate with GV call center team trough radio and divert the issues to concerned supervisors during park operation period.
• Prepare the monthly reports and on time submission, Administrative support for site FM team.
• Coordinate activities and employees within an office set up.
• Assisting the Manager to implement organization’s policies and procedures within site / department.
• Manage and order supplies within the budget guidelines of the organization.
• Managing the stationeries for the smooth operation of the site/department.
• Coordinate internal & external operational meetings as needed.
• Preparing Duty Roasters as per Site Managers instructions.
• Managing the Petty cash under close supervision of the site manager.
• Assist in developing, motivating people and create a positive work environment.
• Resolve problems and determine appropriate courses of action, which are then reported to the Immediate Head.
• Maintaining the operational files and records at the site / departmental level.
• Ensuring the updated documents are in use within the site / department.
• Organizing and coordinating for the site / department members trainings and other events.
• Coordinating with the QHSE Department for site related QHSE issues.
• Assist the site / departmental manager to execute the project/site day to day QHSE requirements.
• Provide assistance in implementation of QHSE management system to achieve the organizational goal.
• Coordinate with other departments for QHSE resources necessary for the workgroup.
• Assist the site/departmental manager to take corrective actions upon identification of the non-conformance.
• Report all near misses, dangerous occurrences and incidents.
• Assist the team in preparing incident reports.
• Assist the site/departmental manager to assess and execute the QHSE training requirements.
• Participate in the site QHSE meeting.
• Participate in the site level hazard identification and risk assessment team.
• Ensure all the workers under his/her management are aware of the internal QHSE alerts.
• Note: As per contractual requirement working time for coordinator is 12 hours (and it might be in any shift starting 8am to 8Pm, or 9 am to 9pm)
