Admin & Facilities Coordinator

Based at our Asia, Middle East & North Africa office in Dubai this role will provide the best in class Administration & Facilities services for our HQ population in Dubai and ensuring well being of associates at all times
Key accountabilities for the role include:
• Provides office administrative support (reception, courier, parking, IT requests, seating plan, extension lists, phone bills, vendors management, meeting room booking support, etc...) for HQ population in Dubai within the agreed SLA’s
• Handles new hires and exits requests and release forms within the agreed SLAs
• Builds and ensures a strong relationship with vendors (cleaning, branding, courier, etc…)
• Solves all admin & facilities related problems for Dubai population
• Connects with HRBPs to assign appropriate seating options/ solutions
• Coordinates with Global Procurement the processing of invoices and purchase orders in a timely manner meeting.
• Coordinates with Global Procurement the vendors of choice.
• Monitors orders in a timely manner while respecting the budget.
• Preparing facilities related reports for senior management, when needed.
• Work well with all levels of internal management and staff and vendors.
• Conducts fire drills with Emaar Management.
• Works with alignment of the safety department.

Skills, Knowledge and Experience Requirements:
• Previous administration & facilities work experience within a professional work environment; you must demonstrate excellent administrative and organizational skills
• Experience of providing facilities related support to multiple stakeholders within high volume workload with tight deadlines
• Proficiency in full Microsoft Suite of Products: Word, Excel, PowerPoint, Outlook (Requires strong computer and Internet research skills).
• Experience of providing administrative support to multiple stakeholders.
• Polished communication and interpersonal skills with proven ability to effectively communicate with and at all levels within the organization.
• Excellent team work & interpersonal skills
• Good written and spoken English.
• Attentive to details with excellent follow up skills
• Must demonstrate ability to multi-task and be detail oriented
• Strong Analysis/Problem solving skills
• Ability to manage tough situations and handle internal clients with respectful and intelligent manner and demonstrate agility, positivity and availability without losing track of deliverables under pressure
• Ability to effectively work in a multi-gender, multi-national work team; whilst displaying particular sensitivity towards cultural and ethnic differences.
• Maintain utmost confidentiality at all times.
• Bachelor’s Degree
• Flexible with working hours/ days.
