Liaise between ADAC Head Office Administration Department, Company Management and Direct reports.
Arrange staff interviews with ADAC Head Office Administration Department on receiving staff request.
Hold meetings with direct reports to review Outsourced Staff performance and address issues related to distribution of tasks and Outsourced Staff.
Manage Outsourced Staff movements to meet ADAC Head Office Administration Department requirements.
Prepare Time sheets for Outsourced Staff as required by the Administration Department..
Manage Direct Reports leave schedule and replacements to ensure continuity of operations.
Ensure all controls are in place for smooth operations.
Prepare and Distribute schedule of tasks amongst technicians.
Coordinating the maintenance and repair of office equipment.
Ensure that closets, service openings, telephone & electrical cabinets and such other cabinets/rooms are kept locked all the times.
Perform routine checks around the premises to identify defects/ faults.
Ensure all vehicles and installed equipment are functioning properly.
Oversee vehicle cleanliness and safety.
Communicate/ dispatch drivers to locations where needed.
Distribute trip logs to drivers.
Review and maintain all trip logs submitted by drivers by the end of day.
Monitor vehicle distribution and usage.
Effectively plan transportation routes.
Ensure ADAC Head Office Administration Department policies regarding Company Vehicles are enforced.
Enforce strong personal and workplace (kitchen) hygiene.
Ensure proper etiquette while receiving important guests.
Check of kitchenette, glass ware and crockery items.
Ensure all kitchens are adequately stocked with consumables.
Receive, Sort and oversee distribution of Corporate Mail.
Prepare weekly and monthly reports for ADAC Head Office Administration Department detailing:
o Attendance.
o No. Of requests received from each direct report; if applicable.
o Special cases raised by direct reports.
o Any other observations.
Quality Control:
o enforce quality control plan agreed with the Employer to ensure that services provided are comprehensive and meet the highest professional standards for quality.
o review the staff arrangement and quality of services with the Employer’s Representative at regular intervals (as advised by the Employer) to ensure that the Employer’s expectations are met.
