JOB PURPOSE
Managing the effective delivery of duties associated with the administration of Facilities Maintenance, facility access, training room, facility preparation and sub-contractor and vendor management. Knowledge and application of processes for Facility Management, Contract Management, Procurement, SHE and quality related activities.
JOB ACCOUNTABILITIES
The jobholder will understand and comply with the processes and procedures contained in the
following documents:
• Facilities Operation Plan
• Quality Management Systems Manual
• Procurement Manual
• Finance Manual
• SHE Plan
• Applicable systems manuals relating to plant, equipment and systems.
• Ensure the SDT Jeddah building is opened and fit for purpose during periods of work activity (training and administration) and properly secured when not in use.
• Carry out daily inspections of building infrastructure, services, plant and equipment. Take action to repair or replace defective or unserviceable equipment or materials in accordance with manufacturer s instructions and the appropriate shared-services Service Level Agreement.
• Ensure that catering / Food and drinks services are performed in a safe and effective way,
• Monitoring the achievement of Facilities Maintenance Requests (FMRs) and analysing data to find preventative issue and improvements..
• Monitor the activities of contractor staff ensuring KPIs, Service Level Agreement terms and conditions of Contract are properly complied with and relevant SDT SHE/Quality procedures observed.
• Manage services provided to BAES Staff (e.g. Fleet Cars).
• Ensure that Business Continuity Management and Crisis Management Plans are established and reviewed for the Jeddah locations
• Ensure that Business Incident and Emergency Plans are established and reviewed for the Jeddah locations
• Monitoring spend and budgets
• Identify and deploy improvements for Support Service and sub-contractor activities.
• Manage team to deliver a fit for purpose set of process and reports to show business performance.
RECRUITMENT SPECIFICATION
CRITICAL:
• The jobholder will hold a diploma (or equivalent) in a Facilities Maintenance discipline (preferably electrical / air conditioning systems);
• A minimum IELTS level of 5.0;
• A minimum of 5 years experience in a related facilities maintenance appointment;
• Computer literate with intermediate level Business Systems / MS Office system operating experience;
• Experience in application of Procurement, Finance and quality procedures;
• A working knowledge of Safety, Health & Environment Management System procedures;
• Detailed experience of Vendor / Supplier management and contract oversight
DESIRABLE:
• NEBOSH qualification (or equivalent);
• A working knowledge of ISO 9001 Quality Management System procedures
• A drive towards Continuous Improvements and reduction of failures (Risk Management)
RECRUITMENT
It is expected that the candidate will be self-motivated, innovative and computer literate with a sound Facilities Maintenance background and a working knowledge of training delivery and office environments.
He will effectively communicate in the English language (speak/read/write/understand), have robust and tested computer skills and a good working knowledge of commercial, procurement, finance, assurance and SHE related processes within a large corporate organisation. Be able to create and deliver reports and information to senior management.
