Job Description:
To record all incoming & outgoing correspondence, photocopying, filing records, word processing and handling all paper works and other clerical duties.
To assist Emergency Shift Supervisor in receiving water complaints from Call Center during his shift and prepare daily, weekly and monthly reports complaints/ maintenance calls reported.
Major Duties and Responsibilities:
• Records all incoming & outgoing correspondence, photocopying, filing records etc. for Senior Maintenance Engineer, all Maintenance & Emergency Engineers.
• Assists Senior Maintenance Engineer in his routine official duties.
• To inform all official/scheduled meetings to Engineers.
• Receives all incoming fax messages and passes to Engineers. Sends out faxes to the concerned Sections.
• Maintains Electronic files as per directory-wise in the Computer for various correspondence and reports of the Division.
• Assists in the word processing works of major reports/specifications /schedules and binding and distribution of reports.
• Any other administrative and technical duties pertaining to clerical issues.
• Attends meeting & prepares minutes of meeting.
• Answers and screens all incoming telephone calls.
• Filing system.
• Performs other related duties as needed upon request
• Assist Emergency Shift Supervisor to dispatch received complaints from ‘Call Centre’ to Field Inspectors during his shift.
• Communicates & Coordinates Field Inspectors.
• Communicates & Coordinates water Tanker Drivers.
• Coordinates ‘Operations Section’ to operate the valves.
• Coordinates ‘Transport Section’ to arrange Tanker and other equipment.
• Prepares Daily Reports.
• Retrieves data from the system to be able to compile all necessary reports.
• Assists Maintenance Engineer to prepare Monthly Report.
• Performs other related duties as needed upon request by maintenance engineer.
Qualification Requirements:
• Higher Secondary School or higher.
Job Experience
• Minimum 5 years’ experience in similar field.
Work Environment
• 100% office work.
Other Significant Requirements:
المهارات
Qatari driving licence is preferred.
• Compiles spread sheets for analytical purposes.
• Good spoken/written English communication. Preferable to know Arabic as well.
• Should be computer literate.
• Self-Correspondence is an advantage.
• Good experience in relevant PC software (word, excel, MS Project).
• This position requires good training for ERP system.
• Familiar with GIS system.
• Good communication skills
• Ability to handle complaints simultaneously and work under stress
• Able to obtain information quickly and correct.
