The ideal candidate for the Operations Coordinator position will be responsible for day to day activities in operations which includes operators handling and assisting operations team on a daily basis to ensure the smooth process.
Key responsibilities:
Daily duties may include the following activities:
Operations:
• Keeping all operators and workshop workers documentation (Passports, visa, emirates ID, TPIs, Licenses) safe and organized soft copies as well as hard copies.
• Keeping workshop documents Up-to-date, schedule and arrange renewals.
• Preparing and sending documents (Operators/Equipment’s) to the customer representative when required.
• Updating and monitor operator’s daily movements and attendance.
• Timesheet’s verification and preparing salary payrolls as well as workshop workers payroll.
• Resolving grievances regarding operators and workshop payroll.
• Preparing, maintaining and organizing operator’s vacation calendar.
• Prepare NOC letters, forms, incident reports, warning notices, logs (accommodation & Safety Inductions), and PPE request forms and arrange deliver PPE’S to the operators.
• Respond to the customer e-mails with coordination with operators in charge and workshop manager.
• Preparing operators evaluations schedule and get evaluation from operators in charge and keep in file.
• Maintaining hard copies record of each operator. (Passport, Visa, EID, Insurance, photo and certificates and other related documents)
• Updating and monitoring special permits such as road permits, site access and exit passes, Military permits for the Machineries and report to the concerned departments for the renewal.
• Keeping TPI certificates of machinery Up-to-date, renewals and new certificates issuance.
HR:
• Handling of HR related tasks such as visa renewal evaluation documentation, vehicle handover, leave applications, salary increment letters, joining and re-joining forms and offer letters.
• Looking after new visa & visa renewal application forms schedule (payment requests & follow ups with PRO).
• Keeping staff’s file and documents records up-to-date both in soft and hard copies.
• Assisting HR team in on day to day basis.
Qualifications:
• Must be fluent in English and Hindi/Urdu.
• Holder of Bachelors or equivalent degree.
• UAE driving license is preferred.
• 1-3 years’ relevant experience in rental equipment industry is preferred.
