JOB PURPOSE
The Spare parts managemer and ATV project coordinatior will support the Regional Fleet Manager in the implementation of activities to support the fleet and centralized spare parts hub in Dubai, UAE. This will include the management of the spare parts store, purchase and deployment of parts, consolidation of Country Office requests and provision of technical and operational support. The incumbent will as well be responsible for the management of Globl Fleet’s leasing of all-terrain vehicles (ATVs), including the provision of project management and technical support.
KEY ACCOUNTABILITIES (not all-inclusive)
Under the general supervision of the Regional Fleet Manager in Dubai, the incumbent shall perform the following duties:
Provide general support to logistics operations and Global Fleet activities, by maintaining the spare parts stock in the hub and deploying spare parts and assets to Country Offices:
Liaise with Country Offices for clarification and confirmation of spare parts orders.
Collect shipping documentation (invoice, packing list, CoC, COO, inspection certificate, etc.) for the execution of logistics operations and local customs clearances.
Timely track the process of requesting, purchasing, freight, customs clearance, and in-country processes until goods are well received, and timely convey related information to respected parties
Ensure that all data for the CSPH depot is being entered timely in the fleet management system (FMS)
Register newly acquired Global Fleet assets
Analyze data from FMS and use it for routine reports for increased cost efficiency of the CSPH
Prepare period reports (monthly/annually) and timely submit to supervisor
Travel to the countries in the region to support fleet mangers and logistics officers when required.
Perform any other related duties as assigned by CSPH
Act as focal point for queries received from ATV field operations:
Compile feedback from fleet- and workshop managers on technical issues and report back to HQ and the supplier
Conduct field visits to ATV operations
Liaise with ATV manufacturer on new developments, troubleshooting and product improvements
Provide ATV training for mechanics and drivers
Prepare internal and external operational reports on ATV utilization on regular basis
Support Country Office in business case development/deployment planning
Monitor in-country stocks of ATV spare parts and provide re-order recommendations

STANDARD MINIMUM REQUIREMENTS
Education
University degree in Business Administration, Engineering, Transport Economics or other fields related to surface transport
Experience
Three to five years of relevant professional experience working in logistics and supply chain in challenging environments
Proven experience in fleet and workshop management
Technical experience in spare parts management
Experience in humanitarian emergencies is considered an advantage
Understanding of WFP’s logistics practices is considered an advantage
Language
Fluent in oral and written English and a second UN Language or one of WFP’s working languages.
DESIRED SKILLS AND ABILITIES
Strong knowledge of Fleet Management System
Proficiency in MS Office (Word, Excel) and knowledge of transport tracking system
Demonstrated in depth technical expertise in managing fleets and workshops
Excellent analytical, conceptual and writing skills
Ability to rapidly understand complex operations and quickly focus on priorities
Ability to plan ahead, anticipate challenges and work on activities in parallel
Ability to create and maintain strong relationships with key counterparts
Fully committed to the objectives, mandate and code of ethics of the WFP
Experience identifying transportation operations risks and maintaining documentation on emergency logistics preparedness.
Experience preparing and managing transport and project budgets
Experience in working in insecure and difficult environments
