Purpose of the Role:
The purpose of this role is to provide administrative support to the QHSE Team. The employee will also be responsible for updating and uploading the documents in Utopia in consultation with corporate QHSE Manager.
Main Responsibilities – Focus Areas:
Providing administration services to the QHSE Department as appropriate
Support the maintenance of Inspire Integrated Incident Management Reporting System, monitor the status of Non-Conformances and support the QHSE Manager in preparing the health and safety statistics.
Assist in the filing of minutes, reports, certificates, etc.
Assist in development of HSE presentations.
Prepare and distribute HSE and Welfare Minutes of meeting.
Monitor the status of welfare grievances and their closure. Highlight any critical escalations to QHSE Manager immediately.
Maintain document control requirements for HSE documentation received
Manage QHSE system requirements for the head office in consultation with the Corporate QHSE Manager
Establish and maintain HSE registers, databases and statistical data entry.
Coordinate Inspire Integrated health and wellness programs in consultation with the Corporate HSE Manager.
Liaise with contract QHSE Officers to ensure that reports required by HSE are prepared in a timely manner and also review the reports for accuracy and completeness.
Handle all basic administrative functions including reports and dashboards, workflows and other routine tasks
Assist with various program operations as requested as responsibilities permit.
Other duties as assigned
Administration Responsibilities:
Relieve office receptionist as required (i.e. during lunch breaks)
Relieve office manager duties when he / she is on leave, particularly in taking minutes and organizing Executive Meetings and Board Meetings
Provide support in organizing company / head office events

Honest and ethical
ESSENTIAL:
1-2 years of experience in a clerical or administrative role
Minimum qualification in Administration or biostatistics or secretarial studies or any other related course
Proven work experience in IT
Typing skills with at least 30 WPM
Familiarity with Microsoft Office software (Word, Access, Excel, PowerPoint)
High degree of discretion dealing with confidential information
