The job holder is responsible for supporting the Facility Management Team in managing all aspects of facilities service as required. In this capacity, the jobholder is responsible for the service delivery at specified locations, which will be measured by contractual Key Performance Indicators and Service Level Agreements. The role will have functional accountability and responsible for all aspects of customer’s satisfaction.
KEY ACCOUNTABILITIES
Operations Management:
• Responds to customer related complaints from Community Management team and coordinates with other department, team members and service provider for resolution and updates. Visits or communicate with the customers for any critical issues raise by them
• Responsible for on time closure of Master Community and We Care issues. Communicate on behalf of FM department to the customer, concerned stakeholders regarding the complaints and coordinates with all the parties involve for comments and collect feedback for updates and closure of issues on time.
• Responsible for immediate closure of any raised Top Management Issues
• Responsible and Lead for Strategy KPI and Statutory Regulation Compliance
• Maintains Mystery Shopper raised issues within Master Community and update accordingly
• Responsible for issuance of MC PTW on minor works including assessment and review on submitted requirements.
• Follow up and update on all related Management Issues, in coordination with the Service Provider for update and closure of raised issues within time frame.
• Evaluation of submitted soft services PPM schedules on monthly basis and recommends necessary adjustments when required to ensure the upkeep of assets in day to day operation.
• Review audit reports, night inspection issues, management issues, and damaged assets for updates and records.
• Coordination with Projects Dept, Consultant and Contractor for any design issues, quality assurance of built areas and system related issues.
• Daily site visits for all issues related to DCH common areas and built facilities.
• Creates/Prepares detailed snag report for any damages found within the managed built area assets and recommends action plan to closure.
• Attending meetings and discussions related to, managed areas and infrastructure assets.
• Coordination with CS on raising PR for improvement projects on manage facilities and continuous follow up to LPO issuance, Direct coordination on works execution from mobilization to project completion
• Ensuring the performances and services of all contracted Service Providers are in compliance with the agreed services contract (Custodial, Engineering, Pest Control, and Waste Mgt. etc.)
• Maintains records of Operation and Maintenance Review on Service Providers submitted Monthly Report’s, Audits, KPI and SLA.
• Prepares monthly report pertaining to operations and maintenance that includes all achievement, task update, SP performances, events and challenges etc.
• Maintains regular monitoring on PTW Post Construction Snag Tracking Sheet to ensure closure of snag reinstatement to its original condition.
• Maintains Report on Departments Strategy Target on sustainability and energy management.
Other Tasks:
• Assists on Third Party Plot management for coordination and communication on any issues including issuance of NOC and Violation Notice when required
• Assists on Issuance of PTW on Major works that includes assessment and preparation of advisories and memorandums to all affected communities and stakeholders
• Assists on preparing the initial draft of KPI and MBO Monthly Report
• Assists on tender evaluation for FM services in different discipline within EFM managed areas
• Assists in preparation of adhoc reports and update to the management when required.
• Performs miscellaneous job-related duties as assigned by the management.
• Assists on Policies, Process, Safety Regulations, Risk Register review and recommendation for amendments and revisions.
• Assist on budget preparation to the new proposals for improvement of the facilities will be considered for the next year budget
• Assists on IRM management related work maintenance, PPM’s and infrastructure network improvement.
• Assists on preparing Tender Documents POR for any required new FM services contract
• Assists on Security related issues.
• Assists on Emaar events preparation and set up management coordination’s to all the parties involved
• Assists on Events Management and facilitation.
• Assists on any Special Projects review, process and execution.
المهارات
Qualification:
• Minimum Graduate Degree in BSc Mechanical/ Electrical/ Civil Engineering and other relevant Engineering course with technical competency in reading and analysing as-built drawings of all discipline in a large infrastructure development. Proficiency in AutoCAD, Maximo, MMS, ICMS, CAFM is an added advantage
Experience:
• Minimum 5 years’ experience in relevant FM industry is preferred. Field experience on managing large scale mixed used development is an added advantage
Skills:
• Proficient in Microsoft office applications specifically for Word and Excel and PowerPoint.
• Excellent communication skills in English both written and communication, basic fluency in Arabic language is an advantage.
• Good organisational skills, coordination and planning ability.
• Strong analytical and problem solving skills in all aspects of facilities operations and maintenance management.
• Ability to utilize available resources effectively and efficiently on a complex work environment.
