The purpose of the Senior Associate - Delivery Planning & Integration role is to support the Delivery Planning & Integration Manager (Procurement) in driving the end to end process for all Event Operations procurement activities. The role will involve working closely with Procurement, Contracts and Finance Departments to ensure the correct sourcing strategy is in place for all Event Operations procurement activities. This also includes liaising and communicating with internal senior management, external stakeholders and senior business professionals in order to support in meeting Event Operations Department business needs / providing high-quality items and supplies whilst maintaining cost efficiency.
The main responsibilities of this role will include:
• Act as a main interface between Event Operations Department and the Procurement Department;
• Is the main custodian of the Event Operations Tender Event Schedule, ensuring that it is fit for purpose and delivers the appropriate management information to Event Operations leadership;
• Works with procurement to ensure that sourcing strategies have been developed based on agreed packages of work and that these have been signed off by the appropriate Event Operations Function Area lead and the wider leadership;
• Ensures that procurement processes are followed within Event Operations including the definition of scope, evaluation and award, as well as timely production of all associated documentation in order to ensure compliance with Expo 2020 procurement policies and procedures (i.e. full cycle of Procure to Pay process);
• Identifies any potential risk/issues to delivery against the Tender Event Schedule (TES) and looks to mitigate/escalate as appropriate, ensuring these are addressed in a timely manner;
• Masters word processing tools, software (SAP/Tejari) and information management systems to request, author, approve, store and analyze various contracts and procurement documents;
• Work with Procurement and Finance on cost saving initiatives that may arise;
• Ensures the Department Function is ready to present to the Tender Committee (where applicable).
المهارات
2+ years’ experience in project management role, as well as:
- A Bachelor’s degree;
- Knowledge across all key event operations functions, and non-operational directorates;
- Experience in working in a multi-cultural organization;
- Experience in working with senior multi agency Government partners and stakeholders;
- Thorough knowledge of principles, methods and practices related to procurement;
- Thorough technical knowledge of the range of procurement categories;
- Thorough knowledge of ERP Systems such as Oracle, Tejari and SAP;
- Thorough experience of strategic procurement practices, and contractual terms and conditions.
